Who we are
VM HOUSE LTD is a visual merchandising and retail experience consultancy registered in England and Wales, company number 17478988. Our registered office is 124 City Road, London, EC1V 2NX.
VM HOUSE LTD is the controller of personal information we use to handle enquiries and manage our business relationships. For privacy enquiries or to exercise your rights, email hello@vmhouse.co.uk or write to our registered office.
Information we collect
When you email us, we receive your email address, name where supplied, message, attachments and any other information you choose to share, such as your business, role, telephone number and project requirements. If an enquiry develops into a business relationship, we may also process relevant correspondence, contact, contractual and billing information.
We receive this information directly from you. If someone introduces you to us or shares your details in connection with a project, we may receive your name, business contact details and relevant project information from them. We will explain the source when we contact you, where required.
You choose what information to provide. Without sufficient contact details or information about your enquiry, we may be unable to respond or provide the services you request. Please avoid sending sensitive personal information unless we have agreed that it is needed.
How and why we use information
We use personal information to respond to enquiries, discuss briefs, prepare proposals, deliver agreed services, manage business relationships and maintain appropriate business records.
Our lawful bases depend on the circumstances:
• Legitimate interests: responding to business enquiries, communicating with client and supplier representatives, managing our consultancy and protecting our legal position. These interests are balanced against your rights and reasonable expectations.
• Contract: taking steps at your request before entering into a contract with you, and performing a contract where you are personally a party to it. For contacts acting on behalf of a company, we generally rely on legitimate interests instead.
• Legal obligation: keeping records or providing information where required by tax, accounting or other applicable law.
Sending us an enquiry does not subscribe you to a newsletter. The website currently has no newsletter signup or contact form. We do not use your information for automated decisions that produce legal or similarly significant effects.
Website hosting, analytics and cookies
Our website is hosted by Framer. Framer provides built-in, cookie-free analytics, which give us aggregate information about website use, such as page views and referral sources. Framer explains that it uses a daily rotating identifier to calculate daily unique visitors, without a persistent identifier or analytics cookies.
We have not added Google Analytics, advertising tracking pixels or newsletter signup tools. Clicking an email link opens your email application; your message is sent through your email provider and ours rather than through a website contact form.
More information about Framer’s built-in analytics is available at https://www.framer.com/help/articles/gdpr-and-cookies/.
Sharing and international processing
We share information only where needed for the purposes described above. Recipients may include providers of email, IT and website hosting services; professional advisers such as accountants and legal advisers; and authorities where disclosure is legally required. Where project delivery requires sharing personal information with a collaborator, we limit this to what is necessary and explain the arrangement as appropriate.
Some service providers may process information outside the UK. Where a restricted international transfer takes place, we must ensure an applicable lawful transfer arrangement is in place, such as UK adequacy regulations or approved contractual safeguards, together with any required assessment. You can contact us for details of safeguards relevant to your information.
How long we keep information
We keep personal information only for as long as necessary for its purpose. For enquiries that do not lead to work, we consider whether the discussion remains active, whether there is an agreed follow-up and whether the correspondence is needed to resolve a question or dispute. We remove information when it is no longer needed.
For client and supplier relationships, retention depends on the duration of the relationship, applicable tax and accounting record requirements, and relevant contractual or legal claim periods. Information needed for an ongoing dispute or legal obligation may be retained longer. You can ask us about the retention period applicable to your information.
Security
We use appropriate technical and organisational measures to protect personal information and limit access to those who need it for their work. No method of electronic communication or storage is completely secure.
Your rights
Depending on the circumstances, you may have rights to access your personal information, correct inaccurate information, request deletion, restrict its use, object to processing based on legitimate interests, and receive or transfer certain information in a portable format. These rights are subject to legal conditions and exceptions. If we rely on consent for any future processing, you can withdraw it without affecting the lawfulness of earlier processing.
To make a request, email hello@vmhouse.co.uk. We may need to verify your identity. We normally respond within one month, subject to lawful extensions or other applicable rules.
You can also complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/. We welcome the opportunity to address concerns first, but you do not have to contact us before complaining to the ICO.
